New Case Management System
General Notes
- It is best to complete a form starting at the top and working your way down. Many fields are populated based on what was populated previously and will change based on choices you make. Example: When you choose a program type, it will determine what fields appear to be completed..
- To sign in this system, you will be asked to enter your password. For training purposes, this is your password assigned for the training system. Once we go live, this will be the same password you use to log into your computer.
- In some cases JAWS will announce the pencil icon as ‘signature’ or ‘password’ depending on the screen and it may announce the magnifier as ‘search’.
- In the new system, what we have called cases are now referred to as programs. What we used to call programs aren’t arent’ necessary. When you hear “the word”program” think of it a as a case.
- What we currently consider “Case Notes” are called Program Notes” in the new system. Please only use Program Notes. There is an option called “Client Note.” The only time to use a Client Note rather than a Program Note is if there is no active Program for that client.
- While the new system has the ability to track spending and budgets, this is never to be used as a way of limiting client services or justifying not providing a needed service. This information should be used for for management level planning only.
The budgets gthat you will be allowed to use will be provided by the system and determined by accounting. Don’t worry if it seems like the wrong year, our grants have carry over periods that may make the grant names seem confusing, so please just use the item provided as directed by your supervisor. - Services are still services, objectives are still objectives, authorizations are still authorizations
- Nothing is changing in regards to the rules and training you have received regarding services to enter, Pre-ETS services, eligibilities, plans, MSGs, or post exit data. These things may be handled a little differently in how you enter them into the system, but the what and why will not change.
- There is a blue bar that displays at the top of most pages/screens. Depending on the screen, it shows information like Disability Level:, Presumptive Eligibility:, Status:, Last Event:, Signed Last Event Date:. JAWS calls it the “sticky bar”.
