Client Authorization Procedures

  1. Counselor/teacher creates auth *2.Supervisor review the auth for accuracy, allowable, necessary and reasonable.
  2. Supervisor verifies services on auth to services on plan
  3. Supervisor approves auth obligating the expenditure.
  4. Expenditure is ordered
  5. Accounting receives invoice
  6. Accounting verifies the invoice to the authorization,
  7. Accounting request verification that items on expenditure have been received by client
  8. Accounting onlines payment entering the service date with the date of obligation in keeping with 34 CFR 200 76-707
  9. Accounting Tech 3 conducts pre-audit of all online payment documents, verifying that all required, documents are attached, that the obligation date is correct and entered and that the cost string is correct.
  10. The CFO conducts final department approval and reviews all online payment documents, verifying that all required, documents are attached, that the obligation date is correct and entered and that the cost string is correct.
  11. Upon approval the payment document is sent to State Accounting Office for review and issuance of check.

Expenditures under $1,000 can be ordered with supervisor approval.

Expenditures $1,000 and over require a Purchase Order approved by the requestor’s supervisor and the CFO
